Position Summary:
Seeking a highly organized and proactive Office Operations & Technology Coordinator to support the firm’s day-to-day operations. This role is responsible for ensuring the office runs efficiently and that attorneys and staff have the resources and support they need to perform at a high level.
The Coordinator serves as a key internal resource, providing first-level support for office operations, facilities, and basic technology needs. This individual will take ownership of administrative functions, respond to issues as they arise, and help maintain a professional, well- functioning office environment.
Key Responsibilities:
Office Operations & Administrative Support
- Maintain and organize client and firm files in accordance with firm procedures
- Process incoming and outgoing mail, including certified and overnight deliveries
- Coordinate court filings, messenger services, and document deliveries
- Support attorneys and staff with general administrative and operational needs
- Assist with special projects and other duties as assigned
Facilities & Office Management
- Maintain the copy/file room and ensure all equipment is operational
- Monitor, order, and stock office, kitchen, and library supplies
- Ensure conference rooms are properly set up and maintained for meetings and client use
- Coordinate with building management and external vendors for office-related needs
- Maintain overall organization and cleanliness of common areas
Technology Support (First-Level)
- Provide basic troubleshooting for hardware, software, and connectivity issues (e.g., Outlook, printers, workstations)
- Serve as the point of contact for routine technology issues and escalate to external IT providers as needed
- Track and follow up on IT support requests to ensure timely resolution
- Assist with onboarding and offboarding of employees, including basic technology setup
- Maintain inventory of office equipment and technology assets
Marketing & Business Development Support
- Provide administrative support for marketing and business development initiatives
- Assist with preparation of materials, events, and client-facing resources as needed

- Proficiency in Microsoft Office (Outlook, Word, and related applications)
- Ability to maintain confidentiality and handle sensitive information with discretion
- Ability to work independently while also collaborating effectively with a team
Physical Requirements
- Ability to lift and carry packages and materials weighing up to 20 pounds
- Ability to retrieve and store items on shelves up to 8 feet high, with or without reasonable accommodation
- Ability to move throughout the office to support operational needs
Education & Experience:
- High School Diploma or equivalent required
- Associate’s or Bachelor’s degree preferred
- Minimum of 2 years of experience in office services, administrative support, or similar role preferred
- Prior experience in a professional services or law firm environment is a plus
